Wanted: A Jack or Jill of all trades related to Admin, including ATS/CRM systems, the management & reporting side of social media, bookkeeping and end user IT support. While mastery of all these areas isn’t required, some level of experience and interest is, combined with a natural curiosity, and the eagerness and smarts to learn whatever's needed. We need an experienced Administrator to assist our Office Manager in our Head Office in making sure the trains run on time in supporting our people and driving our business.

Description

The ideal candidate will have experience in handling a wide range of admin and support related tasks with a focus on information management, especially with social media – and will be eager to learn what they don’t already know. As part of a team of 4 supporting a 15+ person organization across Canada, the successful candidate will have hands on responsibilities in data entry & grooming, social media & web site admin and reporting, sales & marketing process support (but not sales!), bookkeeping, plus some front line Help Desk support and routine office admin. Applicants must be extremely detail oriented, organized, flexible, positive, and action oriented. They must have the ability to work independently and take initiative and exercise their own judgement while operating as a member of the Admin team. Positive, professional and tactful communication will be a part of everything they do, juggling multiple priorities will come naturally, and thorough follow-up will be embedded in every task and project. Overall, they will take delight in “owning” their part in maintaining high levels of internal and external customer service.

Requirements

Education

  • High school graduation with some post secondary office/systems training
  • Ideally a certificate or diploma from a program related to the business aspects of the digital world and/or social media management and analytics

Experience and Skills

  • 2-4 years in an administrative role in a small-medium size firm, with preference for 1-2 years of that being experience in a larger, corporate environment
  • Strong written and verbal communications skills
  • Experience with a mix of routine and project-oriented responsibilities
  • Experience working with a variety of databases and ATS/CRM tools, comfortable entering data into databases and manipulating them
  • Experience with a variety of social media (LinkedIn, Facebook, Twitter) and website platforms such as Wordpress with focus on reporting and analytics
  • Strong user of MS-Office suite especially Outlook & Word (ideally including forms)
  • Experience with mass email tools such as Mailchimp
  • Experience with marketing automation tools like Herefish, Sense or similar
  • Experience with bookkeeping using QuickBooks or similar software
  • Ideally some experience with help desk, supporting new and experienced users in a complex IT and business process environment (though we have a Managed Services IT firm who handles the detailed technical issues)
  • Experience making significant contributions to a growing company, especially one with changing systems and procedures
  • Preference for experience in a retail or hospitality firm either in the field or at corporate level
